How to manage notification subscriptions across users

This guide shows you how to see every notification subscription in a Site, broken down by user, from the admin-side Subscriptions grid.

Use this when you need to audit who is opted in to what — for example, after onboarding a wave of users, before retiring a notification template, or to chase down why a particular user is or is not receiving a specific notification.

This is different from the operator-side Subscribe flow. Operators manage their own subscriptions from their personal Notifications menu; this admin grid lets you see and review everyone's subscriptions in one place. See How to subscribe to notifications for the operator-side flow.

Prerequisites

  • You are signed in as a Site Administrator.
  • You know what you are looking for — a specific user, a specific notification template, or a delivery channel.

Steps

  1. Navigate to Admin Center > Site Settings > Notifications > Subscriptions.
  2. Review the grouped subscription grid. Each user appears under a Name: <user> header.
  3. Expand a user's group via to see the per-template subscriptions.

Note: The exact UX of the row-expand and any per-row actions may vary by deployment.

Grid columns

Column Description
Notification The notification template the user is subscribed to.
Delivery channels How the user receives the notification — Email, Web browser, or both.

Reading the grid

Pattern What it usually means
User has no rows They have not subscribed to anything. They will not receive notifications even if a template fires.
User has many Email rows They will receive a lot of mail. Consider whether they actually need every subscription.
Multiple users subscribed to a template you plan to retire Notify them before deleting the template, or migrate the subscription to a replacement.
