Hiding user-defined fields

Introduced in 2025

If you are creating the user-defined field to hold internal values for your workflow, it doesn't need to be visible to technicians and Self Service Portal customers. In such a case, you can hide this field from users.

An Alloy Navigator administrator can access hidden UDFs in the Settings App (through Workflow Management and Field Customization) and in the Desktop App or Web App via Batch Updating.

To hide a user-defined field from users:

  1. Go to General > Fields > [Object Class]. Alternatively, you can access UDFs for a particular object class under Workflow and Business LogicClosed (Workflow and Business Logic > [Module] > [Object Class] > Fields) .

TIP: To access UDFs for Activity Log records, go to Miscellaneous > Object ActivityClosed (General > Fields > Miscellaneous > Object Activity) .

  2. Click the field you want to hide. The User Defied Field pane slides out.

  3. Under Options, select the Hidden check box.

  4. Click OK.

  5. Click Save on the toolbar to apply the changes.

NOTE: Alternatively, you can hide a UDF in the Custom Data Display window where you arrange UDFs.

IMPORTANT: You cannot hide UDFs that are included into the All Tickets/My Tickets views. Remove all dependencies before hiding UDFs. For details, see Adding Ticket fields.
