What's new in version 2025.2

Welcome to the Fall 2025 release of Alloy Navigator Express. This update brings powerful analytics tools, improves collaboration within and across teams, and elevates AI-powered features to an impressive new level.

Interactive Analytics: Turn raw data into actionable insights

This release introduces Interactive Analytics, giving you instant clarity from your Service Desk data through dynamic, easy-to-build visualizations. No need to wait for administrators or rely on external tools—you can uncover trends, track performance, and share insights in minutes.

Choose from vertical and horizontal bar, line, area, donut, pie, or table formats. Select your data, set metrics and groupings, apply filters, and adjust the look and feel. Charts refresh instantly and support real-time filtering by date ranges and other conditions.

Each chart supports three modes: Visualization, Summarized Data, and Raw Data, so you can explore information the way you need. Share charts with colleagues or export them as static images for people outside Alloy Navigator Express.

GETTING STARTED: Go to Reports > Analytics to explore a few pre-built charts or create your own. Managing and sharing charts requires Analytics and Dashboard Management permissions.

NOTE: Powered by Alloy's next-generation reporting engine, Interactive Analytics introduces a unified, streamlined experience that will gradually replace legacy Printed Reports and outdated dashboard widgets.

Dashboard customization and sharing

This release brings true flexibility to dashboards in Alloy Navigator Express. You’re no longer limited to a single, administrator-managed dashboard; now you can create as many as you need. Build your own dashboards, share them with your team or organization, or keep them private—it’s your choice. While widget content is still managed by admins, you decide how they’re placed and displayed.

  • Multiple dashboards: Create and manage as many dashboards as you need

  • Total control: Place only the widgets you need, in the order you want

  • Auto-arrange: Instantly organize widgets into a compact layout

  • Flexible collaboration: Share dashboards with your organization, team, or keep them private

  • Consistent interface: Customize dashboards with the same familiar gear icon and interface used for views and boards

GETTING STARTED: Go to My Work > Dashboard to find the dashboard preserved after the upgrade. Use Save as to create a customizable and shareable copy, or create new dashboards from scratch. Legacy dashboard can be deleted later if no longer needed. Managing and sharing dashboards requires Analytics and Dashboard Management permissions.

NOTE: Interactive Analytics charts cannot be added to dashboards just yet. This capability is planned for a future release, when they will begin to replace legacy dashboard widgets.

AI Assistant in the Self-Service Portal

The Self-Service Portal now features a powerful AI Assistant that makes use of your existing knowledge base and ticket history to provide faster answers, reduce the support team’s load, and elevate the self-service experience.

What the AI Assistant can do:

  • Conversational support: Analyze issues reported in chat and suggest solutions from past tickets or the knowledge base in a natural, conversational manner

  • Language support: Communicate with users in their portal language for a seamless and personalized experience

  • Service requests: Help users report issues and track tickets and reservations

  • Equipment reservations: Assist users in finding and reserving the equipment for specific time slots

  • Portal guidance: Guide users through the portal and help them make the most of it

Key benefits:

  • Save time: Automate routine tickets so IT can focus on complex issues and users get help faster

  • Reduce costs: Cut down manual effort, freeing resources to improve critical services

  • Boost productivity: Allow IT to prioritize high-value projects and deliver better experiences for everyone

GETTING STARTED: The AI Assistant is turned off by default after the upgrade, since it requires a configured AI integration and may generate additional costs. Administrators will see a notification banner with the option to enable it. Once enabled, the assistant will appear in the bottom-right corner of the portal and be available to all customers.

NOTE: The current version of the AI Assistant requires integration with the OpenAI API. Compatibility with Azure OpenAI Service is planned for a future release.

Refreshed UI for a better experience

The Self-Service Portal UI has a cleaner, modern look designed to improve readability and usability.

Ticket forms and other pages now feature tighter spacing between labels and fields, lighter headers, cleared label text, and an overall more polished, streamlined layout.

@Mentions: An intuitive way to collaborate

You can now use @mentions in tickets, requests, and anywhere in Alloy Navigator Express, just like in chat apps and social networks. Mention a colleague to instantly bring them into the conversation. @Mentions trigger real-time push and email notifications with direct links, so the right people see updates or questions with full context. No need for CCs or extra collaborators — just @mention them.

  • Streamlined collaboration: Share updates and get input without extra steps

  • Direct access: Jump straight from the notification to the mention

  • Works everywhere: Available across all processes, in any rich-text field

GETTING STARTED: In any rich-text field, type @ to activate the feature and display an initial list of technicians. Matching names appear as you type for easy selection. Available to all users after the upgrade.

NOTE: Only users marked as Technician can be @mentioned, keeping conversations focused. To involve colleagues outside IT, you can still notify them use CC and BCC. This ensures mentions reach the right IT team members while still allowing broader collaboration.

Preview panel layout: Customize your workspace

You can now fully control the preview panel layout, placing it below data views (as before) or on the right side. This flexibility lets you arrange your workspace exactly the way you want, keeping important information visible and streamlining your workflow.

  • Flexible, personalized workspace: Adjust the preview panel to fit your monitor and workflow, aligning the interface with the way you work

  • Improved efficiency: Keep record details accessible without unnecessary scrolling

  • Customizable content: Bottom and right previews show the same information by default, but they can be configured independently for custom workflows

GETTING STARTED: Above any data view, click Options and select your preferred position under Preview. The layout is saved for all data views, so your workspace remains exactly the way you like it.

Customize Preview in the Admin Center

Administrators can now configure what users see in the preview directly from their web browser. In the Admin Center, go to Workflow and Business Logic, select the object class you want to customize, and click Preview. You can also view previews for all object classes under General > Preview

The Admin Center now provides quick access to all visual configurations, including fields, full forms, quick view forms, and preview layouts, all from a single, convenient interface.

Starting with this version, the Preview setting is exclusively available in the web-based Admin Center.

AI integration into Workflow

AI is now built into the workflow engine in Alloy Navigator Express, opening new possibilities for smarter, more efficient processes.

  • Control: Manage availability of AI-actions by role, lifecycle stage, object type, and conditions, or disable them when not needed

  • Simplicity: Use built-in AI actions without any extra setup or configuration.

All previously built-in AI-Powered Insights for Service Support tickets have been moved into corresponding workflow actions and are immediately available to key roles, such as administrators and service desk staff. You decide who can use AI assistance in your workflows. AI-powered workflow actions will continue to expand in future releases.

GETTING STARTED: To modify access conditions, open the Admin Center or Settings App, locate the action in the relevant workflow, and make your changes. As before, AI-powered actions require a configured AI integration with an API key, and AI responses can be significantly more relevant if access to internal knowledge is enabled. Bold new look: A fresh UI update

Alloy Navigator Express has been completely refreshed for a modern, cleaner, and more user-friendly experience.

Streamlined Activity panel

The Activity panel has been restructured to reduce clicks, keep focus on the main content, and preserve context.

  • Faster focus on relevant activity: Activity view names are now shown as clickable chips on the panel instead of hidden in a drop-down, so you can switch views with a single click and focus on the activities that matter most.

  • Quick filter: You can now search activities in Cards mode, not just in Table. Use the new Search button to show or hide the filter box.

  • Direct links to activities: You can now share links to specific activity entries, making it easy to reference them in tickets and discussions.

  • Streamlined actions: All data view actions have been moved to the three-dot menu for a cleaner interface.

Clean and modern UI

Data views, forms, icons, and other UI elements have been streamlined for clarity and ease of use.

  • Modern typography: Updated fonts and text styling make content more visually appealing and easier to read.

  • Modernized layout: Form fields fully redesigned for a cleaner, contemporary look.

  • Updated icons: All icons and buttons now have a distinct, modern appearance.

Sharp action icons

Workflow action icons are now smaller, sharper, and easier to read on high-resolution screens. They match the style of the other app icons, creating a consistent, modern visual experience.

Admin Center: Expanded controls, search, and import/export

The web-based Admin Center continues to evolve, offering even more ways to manage your Alloy environment directly from your browser. This release introduces seven new features that enhance control, streamline workflows, and make administration faster and more intuitive.

New Admin Center features:

  • General

    • Preview: Customize the layout of preview panels. Bottom and right-side previews are configured independently, giving you full control over how the details of a selected record are displayed.

  • Users & Security

    • Password Policy: Enforce password complexity rules for internal users (when the system uses passwords instead of SSO) and for Self-Service Portal users, ensuring stronger account security.

  • Workflow and Business Logic

    • Macros: Customize your macros, see where they are used, and create new ones if needed.

    • Select Placeholder dialog: Add dynamic content such as macros, HTML templates, Self-Service Portal email templates, and preview pane customizations with a new placeholder selection dialog.

  • Apps and Portals > Self-Service Portal

    • AI Assistant: Choose whether Self-Service Portal customers can use the AI Assistant for help and guidance.

    • Self-Registration: Enable new Self-Service Portal users to register themselves. Pending registrations must still be approved by an administrator.

    • Email Templates: Customize predefined email notifications for the Self-Registration feature, including Authorization Request, Manager Notification, Password Notification, and Registration Confirmation.

Admin Center search (preview)

With so many ways to customize Alloy Navigator Express, finding what you need can be challenging. The new smart search makes it easy: simply start typing what you are looking for, and matching results appear instantly.

Click the search bar or press Ctrl+K, then type keywords related to the setting you want to find.

This feature is currently in preview. This means it is fully functional, but some settings may not appear in search results yet.

Export and import of configuration settings

Administrators can now export and import configuration settings via the Admin Center.

  • Single XML file: Export includes all configuration settings, including those not yet accessible in the Admin Center.

  • Easy backup: Export to the server and download for later use.

  • Simple import: Apply workflow configurations from any source, including backups or custom configurations provided by Alloy Software.

  • Cross-platform: Works between desktop and Web Admin Center, as well as earlier versions.

For exporting specific settings, continue to use the Settings App.

Desktop App removal

As announced in the previous release, the Alloy Navigator Express Desktop App has been removed and is no longer available. Users must now use the Web App, which provides all the functionality of the Desktop App along with additional features and performance improvements.

Other enhancements and resolved issues

Form improvements
  • Direct links to activities

    You can now link directly to a specific object’s activity, such as a comment, status change, or action taken. This enables precise, context-aware references, improving communication and navigation, including when using @mentions.

    Format:

Enhancements to data views and calendars
  • Select all records across pages

    You can now select all records in a multi-page data view, not just the current page. The main checkbox first selects the current page (shown as partially checked), then lets you select all N records across all remaining pages.

  • Columns tab comes first

    Based on user feedback, we've made the data view customization dialog even more intuitive. The Columns tab, where you adjust columns, now comes first and is visible immediately, with the Filter tab as second. This small change saves clicks and makes working with data views smoother and faster.

  • View dependencies

    Before deleting a record or performing other critical actions (like deactivation), you can see which objects depend on it and navigate to them directly. This improves visibility, reduces accidental data loss, and streamlines data management. Just right-click the record in the data view and choose Show dependencies from the context menu.

  • Go To dialog preserves context

    The Go To dialog now lets you choose how to open a record—in a new tab (default) or in the current tab. Opening in a new tab helps you keep your current context while exploring another record.

    Previously, this behavior depended on your Open records in new tab/window profile setting. That setting no longer applies here. It still controls how records open from data views, but the Go To dialog now offers its own clear choice.

Self-Service Portal fixes
  • Fixed an issue where short direct /go/ links to Knowledge Base articles redirected users to the portal’s homepage after sign-in instead of opening the intended article. This occurred only when Windows Authentication was enabled.

  • Fixed a workflow an issue where selecting to submit the request immediately during validation triggered an unnecessary confirmation dialog "Do you want to cancel this action?" The extra prompt no longer appears.

  • Fixed an issue with auto-generated avatars (colored initials). Non-letter characters such as parentheses are now removed, ensuring initials contain only letters.

  • Added support for multiple instances of the Alloy Self-Service mobile app—for example, one with the Tickets module enabled and another without it.

    To create an additional instance, configure a new mobile app entry in the Admin Center or Settings (navigate to Services and Integrations > Mobile Applications, select the "SelfServiceMobile" configuration and click Copy Item) and link it to a new API instance using a unique URL Mask. This setup works the same way in the Alloy Navigator mobile app.

Updates to default workflow
  • Improved the Equipment Reservation and Checkout workflow. It now provides better notifications and status handling for equipment reservation and checkouts. Requesters are notified when reservations are canceled or fulfilled, and actions like Retire, Check Out, Close, and Cancel handle related reservations more consistently

  • AlloyScan sync jobs now import software group information (Required, Regular, or Forbidden) into Alloy Navigator Express' Software Catalog, just like for software discovered via Network Inventory. This enhances software asset management and organization.

  • Resolved an issue with Microsoft Intune Integration that could cause a Bad Request error when the Handling Unknown Device Types workflow parameter was set to "Do not Import Unknown deviceType and chassisType." The updated Intune integration (version 2.0) is now included in the default workflow.

  • Fixed an issue in the invoice workflow where inconsistent rounding of monetary values could cause invoice totals to exceed their related Purchase Order, preventing the invoice from being saved. Totals are now rounded consistently, ensuring accuracy and preventing discrepancies.

Improvements to email integration
  • Fixed an issue that could occur when configuring the Mail Connector for Exchange Online using a custom application registered in Microsoft Entra ID (Azure) portal. To ensure a reliable setup, follow our guide Registering a Custom App for Exchange Online, or use the pre-registered multi-tenant app "Alloy Mail Connector" provided by Alloy Software.

Database & security improvements
  • Alloy Navigator Express now includes an updated MS SQL driver, improving compatibility with modern SQL Server versions and enabling support for TLS 1.3, ensuring secure and reliable database connections.

Improvements to Documentation Portal
  • The AI-assisted search dropdown on the Product Documentation portal now appears only after typing in the search field. Previously, it opened by default and obscured page content.
