Customizing object forms for the SSP

In the Customization > General > Self Service Portal > Forms section, you can customize various aspects of Forms that the Self Service Portal uses to display or create objects.

The following aspects of object workflow are available for customization:

  • View Form - The SSP uses this form to display the details of existing objects such as Tickets, Approval Requests, Equipment Reservations, Library Items, Computers, and Inventory Items.

  • New Equipment Reservations Form - The SSP uses this Form to prompt customers for relevant information when they choose to create new Equipment Reservations.

  • New Equipment Reservations Template - The SSP uses this Template to initialize some properties of newly-created Reservations, including those properties that will not be visible in the SSP.

  • New Ticket Forms - The SSP uses these Forms to create different types of Tickets.

View Form

  • [Object Class] > View Form - The SSP uses View Forms to display the details of existing objects: Computers, Inventory Items, Library Items, Equipment Reservations, Approval Requests, and Tickets. You can customize the View Form for an object class as follows:

    • ClosedTo add a field:

      1. Click New > Field. The Form Field window opens.

      2. Under Field, select the field name from the Name list.

      3. Type in a field label in the Label field. If you want to use the field name as the label, leave the Label field blank.

      4. Click OK to close the window.

      5. Click Save.

    • ClosedTo group fields in a section:

      1. Select the field under which you want to add a section separator and click New > Section. The Section window opens.

      2. Type in a section caption. To create a section with no caption, leave the Section field empty.

      3. Click OK.

    • ClosedTo add text or a hyperlink:

      1. Click the element (a separator or a field) under which you want the text or hyperlink to appear and click New > Text. The Text window opens.

      2. Type in the text, insert a URL if needed. To insert a placeholder for a dynamic value, click Insert Placeholder, and select the content using the Select Placeholder window.

      3. Click OK.

New Equipment Reservations Form

  • Equipment Reservations > New Equipment Reservations Form - The SSP employs this special Form to prompt customers for relevant information when they choose to create Reservations. You can customize the New Object Form as follows:

    • ClosedTo add a field:

      1. Click New > Field. The Form Field window opens.

      2. Select a field name from the Name list.

      3. Type in a field label in the Label field. If you want to use the field name as the label, leave the Label field blank.

      4. To make the field mandatory or read-only, select the corresponding check boxes under Options.

      5. Click OK to close to window.

    • ClosedTo change the display order of fields:

      1. Select the field to re-order and use the Move Up or Move Down buttons to change its location.

    • ClosedTo group fields in a section:

      1. Select the field under which you want to add a section separator and click New > Section. The Section window opens.

      2. Type in a section caption. To create a section with no caption, leave the Section field empty.

      3. Click OK.

    • ClosedTo add text or a hyperlink:

      1. Click the element (a separator or a field) under which you want the text or hyperlink to appear and click New > Text. The Text window opens.

      2. Type in the text, insert a URL if needed. To insert a placeholder for a dynamic value, click Insert Placeholder, and select the content using the Select Placeholder window.

      3. Click OK.

    • ClosedTo change a field label:

      1. Double-click the field. The Form Field window opens.

      2. Make your changes as needed.

      3. Click OK to close the window.

    • ClosedTo remove a field:

      1. Select the field to delete and click Delete.

New Equipment Reservations Template

  • Equipment Reservations > New Equipment Reservations Template - The SSP employs New Reservations Template to initialize some properties of new Reservations. You can customize the New Object Template as follows:

New Ticket Forms

  • Tickets > New Ticket Forms - The SSP employs these special Forms to prompt customers for relevant information when they choose to create a Ticket, and initializes fields of this new Ticket.

    You can customize the New Ticket Form as follows:

    • ClosedTo create a New Ticket Form

      • Specify the following properties:

      • Caption - the Form caption displayed to the user in the New menu. If you want to use the Form name as the caption, you can leave this field clear, and Alloy Navigator Express will populate the empty Caption filed with the value you have typed in the Name field.

      • Description - the description of the Form.

      • Enabled - enables the Form.

      • In the Template section, specify a Template for assigning initial values to object fields. Choose an existing template or define a custom template to be used only in this Form. The template's values will be applied when the New Ticket is created.

        • New - adds a new row where you can select the name of the field and enter its initial value.

        • Edit - allows you to modify the selected template field.

        • Delete - deletes the selected row.

      • In the Fields section, view the definition of the selected Fields or create or modify the Form Field.

        • New > ... - opens a window where you configure a new form element: Form Field, Text, Attachment Area, or Section.

        • Edit - allows you to modify the selected element.

        • Delete - deletes the selected element.

      • Click OK.

        TIP: If you want to base the new Form on an existing one, select the source Form and click Copy Item.

    • ClosedTo edit the New Ticket Form:

      1. Double-click the Form. The New Ticket Form window opens.

      2. Make your changes as needed.

      3. Click OK to close the window.

    • ClosedTo change the display order of Forms:

      1. Click Display Order. The Display Order window opens.

      2. Drag each Form to the desired position. The user will see the Forms in the order that they appear in the list.

      3. Click OK when done.

    • ClosedTo delete a Form:

      1. Select the Form and click Delete.
