Hiding UDFs From Users

If you are creating a user-defined field to hold internal values for your workflow, it does not need to be visible to users, and you can hide that field.

INFO: For details, see Workflow Management.

The Alloy Navigator administrator can access hidden UDFs in the Settings (through Workflow Management, Field Customization, Active Directory Field Mapping, and Alloy Discovery Field Mapping) and in the Desktop App or Web App via Batch Updating.

IMPORTANT: You cannot hide UDFs that are actually being used in your workflow (i.e. the fields that are included into the All Tickets/My Tickets views, see Adding Ticket Fields). Remove all dependencies before hiding UDFs.

To hide a UDF from users, follow these steps:

  1. From the Sidebar, navigate to the field list of the object class where you want to hide a UDF. For example, to access the list of Work Order fields, go to Workflow and Business Logic > Service Desk > Work Orders > Fields.
  2. Click UDF Layout on the Module menu. The Custom Data Display dialog box opens.
  3. Select the field you want to hide and click Hidden on the corresponding Module menu.
  4. Click OK.
  5. Click Save on the Standard toolbar to save the changes.

You can also hide a UDF when adding it or modifying its definition.

INFO: For details, see Adding User-Defined Fields or Modifying a UDF's Definition.
