Sharing charts
Introduced in 2025.2
Updated in 2026
You can control who can see and use your analytics charts. Sharing controls are located on the Sharing tab of the Chart Settings panel, which appears on the right when a chart is open.
Shared with
This section determines who the chart is available to:
-
Only me: The chart is private. Only you can see and open it in Reports > Analytics or dashboards.
-
Everyone: The chart is shared with all technicians.
-
Specific people or groups: Share the chart with selected users and/or groups. You can grant access to multiple individuals and multiple groups at the same time, allowing more precise control over who can view the chart.
The concept of "chart owner" ensures that the creator maintains uninterrupted access to their charts, regardless of their group membership or sharing settings. The owner is always considered to have access and cannot be removed from the Specific people or groups list.
These settings control who can view the chart, not the underlying data itself. Data visibility depends on user permissions and their workspace limitations. Even if a chart is shared, each viewer will only see the data they are allowed to access based on their role and workspace rights, unless the Security settings specify otherwise.
IMPORTANT: When adding chart to dashboards as widgets, remember that chart sharing and dashboard sharing are configured separately. Users can view a chart on a dashboard only if both the chart and the dashboard are shared with them.
Security
Users with administrative permissions can use these options to control how data-level permissions affect the chart visibility:
-
When the Bypass role-based access checkbox is cleared, the chart follows security rules and workspace limitations: each user sees only the data they are permitted to view.
-
If you want users to see the full dataset, regardless of their role, workspace, or security restrictions, select the Bypass role-based access checkbox. These charts display an open lock icon
both in the analytics chart library and on dashboard widgets.IMPORTANT: Selecting the Bypass role-based access checkbox allows every chart viewer to see all data, regardless of their access permissions and workspace limitations. Use this only for charts intended for administrators or when all chart data is safe to share, as it may expose sensitive information.
Ownership details
The concept of "chart owner" ensures that the creator maintains uninterrupted access to their charts, regardless of their group membership.
NOTE: Administrators with the Manage Shared Dashboards and Charts permission can manage all shared charts, regardless of their sharing settings or owner.
At the bottom of the Sharing tab, you can view:
-
Chart name: The internal name of the chart
-
Owned by: The user who created the chart or last saved it as a personal version
-
Created/Modified by: History information showing when the chart was created and last changed.
