Work Calendar tab

This tab helps you visualize the personal working schedule of the technician. This personal schedule is defined by the corporate work calendar and various technician's personal events, such as vacations and other time off. You can view the calendar information by day, by week, or by month. For details, see Changing Calendar views.

NOTE: If your organization supports multiple work calendars, you can choose a calendar for this technician on the General tab (Technician sub-tab) of the Person details window.

You can also use this tab to create, modify, and delete personal events for the technician right from the calendar. For instructions, see Scheduling personal events below.

NOTE: To refresh the calendar, press F5.

Scheduling personal events

You can schedule personal events directly from personal work calendar on the Work Calendar tab of the Person window, as follows:

  • ClosedTo view the details of an event:

    • Rest the pointer over the event to display its details. The ScreenTip displays the event name, its dates and description.

  • ClosedTo reschedule a personal event:

    • Drag the start or end border to the new position. You can also drag events between dates within the calendar area or to a particular date in the mini-calendar in the top-right corner.

    If you want to change other event details (for example, add a new description), you can double-click the event and make your changes using the [Personal Event Category] window.

    NOTE: In addition to personal exceptions, the Work Calendar tab shows the exceptions to the technician's work calendar. These "global" exceptions are shown in the read-only mode. For details, see Defining Exception Lists.

  • ClosedTo add a personal event for a technician:

    1. Click in the desired cell and select New > [Personal Event Category] from the Module menu. You can also click and drag to immediately specify the event's start and end date and time. The [Personal Event Category] window opens.

    NOTE: The list of personal event categories is configured by your Alloy Navigator administrator. For details, see Managing personal event categories.

    1. Specify the event details as needed and click OK. A new event bar appears in the calendar.

  • ClosedTo view the full list of personal events:

    • Click Settings. The Work Calendar Settings window opens, where all technician's personal events are shown.

    You can use this window to add, modify, or delete personal events. For details, see Maintaining the list of personal events.

  • ClosedTo delete a personal event:

    • Select the event and click the Delete button on the Module menu.

NOTE: Alternatively, you can schedule personal events for technicians using the Task Management Calendar.

If you want to see the full list of the technician's personal events, click Settings. For instructions, see Maintaining the full list of personal events below.

Maintaining the full list of personal events

You can use the Work Calendar Settings window to see and maintain the fill list of personal events for the technician. This list is personal, i.e. it applies only to the particular technician. To access the Work Calendar Settings window, click Settings in the personal work calendar on the Work Calendar tab of the Person details window.

TIP: Alternatively, you can manage personal events directly from the personal work calendar. For details, see Scheduling personal events.

[Personal Event Category] window

You use the [Personal Event Category] window to view, add, or modify a personal event such as a vacation, sick day, overtime, or other non-standard working or non-working hours. Your personal event may take several hours such as a partial day or overtime or may last for one or several days such as a vacation period.

Name - the event name.

Description - the description for the personal event.

Start Date and Time - the start date and time for the event. To specify a date, click the down arrow in the Start Date field to bring up the calendar and select a date.

End Date and Time - the end date and time for the event. To specify a date, click the down arrow in the End Date field to bring up the calendar and select a date.

All day check box - specifies that the event lasts for one day (24 hours) or several days. Clearing this check box enables you to specify the time interval for your personal event.

NOTE: Unlike holidays, personal events occur on a fixed day of the year and does not repeat every year.
