PO Item window

The PO Item window shows the information organized on the General, Assets, Consumables, Notes, Attachments, and optional Custom Data tabs.

General tab

This tab shows the PO item details in the following fields:

Line - the line item number in the Purchase Order.

Details section - shows the details of the PO item.

Type - the type of the PO item. Typically, when you "receive" a PO item using the appropriate workflow action, you can choose to create not only an asset record but also an associated CI (Computer, Hardware, Software License, or Consumable) record. In this case, the kind of CI record to create is chosen according to this field value.

Category the category of the PO item. The list of categories of PO items is configured by your Alloy Navigator administrator.

Description - the description of the items you order.

Part Number - the part number that the vendor uses to identify the item.

Unit Price - the cost of each unit in the PO item.

Qty - the number of units in this line item.

Line Price - the total amount to pay the vendor for this line item.

Units of measure section - shows the units of measure for the PO Item.

Purchasing UOM - the purchasing units of measure for the PO Item.

Stocking UOM - the stocking units of measure for the PO Item.

Conversion Factor - the factor that shows the conversion number between Purchasing UOM and Stocking UOM.

Product Info section - shows information about the Product associated with the PO Item.

Product - the Product associated with the PO Item.

SKU - The stock keeping unit of the PO Item.

Return Policy - the policy that defines the item return conditions.

Return Period - the period defined by the item return conditions.

Receiving section - shows the receiving details of the PO item.

Date Received - the date the units in this line item are received from the vendor. You fill out this field when you "receive" the item in Alloy Navigator using the appropriate workflow action.

Qty Received - the number of units received from the vendor. Must be less or equal to Qty. This field is filled out when you "receive" the item using the appropriate workflow action.

Stock Room - the Stock Room where the PO Item is located.

Status - the current status of the PO item.

Product Class - the product class of the PO Item.

Asset/Consumable Type - the type of the associated asset/consumable.

Asset/Consumable Category - the category of the associated asset/consumable.

[Object] Type - the object type of the PO Item. This field appears for Computers, Hardware, and Software Licenses.

[Object] Category - the object category of the PO Item. This field appears for Computers, Hardware, and Software Licenses.

The General tab may also display various user-defined fields in an additional section if your Alloy Navigator administrator has configured them accordingly. The default name of this section is "Custom Data", although your Alloy Navigator administrator may have renamed this section.

NOTE: User-defined fields can appear also on the Custom Data tab (this is the default name of the tab; it can be renamed by your Alloy Navigator administrator).

Assets tab

The Assets tab lists the asset records automatically created during the process of receiving this PO item. Typically, the PO items can be "received" by using a special workflow actions configured by your Alloy Navigator administrator. For details, see Receiving PO items. You can open the Asset details by double-clicking its record in the grid.

Consumables tab

The Consumables tab lists the Consumables records automatically created during the process of receiving this PO Item. For details, see Receiving PO items. You can open the Consumable details by double-clicking its record in the grid.

Custom Data tab

This tab displays user-defined fields that your Alloy Navigator administrator has configured in addition to the standard built-in object's fields. The default name of this tab is "Custom Data", although your Alloy Navigator administrator may have renamed this tab.

NOTE: User-defined fields can appear also in the special section on the General tab.

Notes tab

The Notes tab allows you to store any notes related to the PO item.

Attachments tab

The Attachments tab allows you to manage attachments (files and links) added to the PO item. For instructions, see Attachments tab.
